Send documents for signature

How to build a signing package from a mortgage file, place fields for each signer, send it, and collect the signed PDF with its certificate. Time required: about five minutes per package.

  1. Open the deal's E-Sign tab

    Signing starts inside the file the documents belong to, not in a separate app. Open the deal and switch to its E-Sign tab — everything you send from here stays attached to that deal's record.

  2. Create a package

    Start a new signing package. A package is the unit you send: one or more documents, going to one or more people, tracked together. Give it a name your client will recognise when it lands in their inbox.

  3. Upload the PDFs

    Add the PDFs that need signatures. Multiple documents can live in a single package, so a commitment, a consent and a disclosure can all go out in one request rather than three separate emails.

  4. Add the recipients

    Add everyone who has to sign — the borrower, a co-borrower, a guarantor. Each recipient is tracked separately, so you can see exactly who has acted and who hasn't.

  5. Place the fields

    Drag fields from the palette onto the document where they belong: signatures, initials, dates and text entries. Position them on the page the way you'd point at a paper document across a desk.

    Assign every field to a specific recipient. A field with no owner is the most common reason a package stalls — the signer opens it, sees nothing to do, and closes it.

  6. Set Prefill and Required per field

    With a field selected, use the properties panel to set its behaviour. Prefill populates the field with information you already hold, so the signer confirms rather than retypes. Required means the package can't be completed until that field is filled — use it for anything you'd chase later.

  7. Send the package

    Review the placement once, then send. Recipients get their own link to the documents and sign in a browser; there's nothing for them to install and no account for them to create.

  8. Track progress

    The package shows an "X of Y signed" status, so you always know where it stands without emailing anyone to ask. On a multi-signer package this tells you precisely who to nudge instead of re-sending to the whole group.

  9. Download the completed file

    When everyone has signed, download the signed PDF. It comes with a certificate of completion recording the signing events — the audit record you keep on file and produce if anyone later asks how the signature was obtained.

No per-envelope fee. Signing is part of the plan, so packages don't need to be rationed. Send the disclosure separately if that's clearer for the client.
