1. Introduction

AA BrokerDam Inc. ("BrokerDam", "we", "our", or "us") is committed to protecting the privacy and security of the information entrusted to us by our customers. BrokerDam provides AI-powered software designed to help mortgage professionals streamline document management, underwriting, compliance, and client workflows. This Privacy Policy explains what information we collect, how we use it, when we share it, how we protect it, your privacy rights, and how to contact us.

2. Scope

This Privacy Policy applies to the BrokerDam website, web applications, AI-powered tools, customer support, marketing communications, demonstrations, training sessions, and all related services operated by BrokerDam. It does not apply to third-party websites or services not controlled by BrokerDam.

3. Information We Collect

We may collect information you provide (such as your name, business details, contact information, account credentials, uploaded documents, and support communications), information collected automatically (such as IP address, browser type, device information, login history, and usage analytics), and information collected through cookies and similar technologies.

4. How We Use Information

We use information to provide and improve our services, authenticate users, process uploaded documents, deliver AI-powered features, communicate with customers, respond to support requests, detect fraud, protect platform security, and comply with applicable legal obligations.

5. AI Processing

BrokerDam uses artificial intelligence to assist mortgage professionals with document analysis, information extraction, workflow automation, and underwriting support. AI-generated outputs are intended to assist—not replace—professional judgment. Customer-uploaded mortgage files are not used to train public AI models.

6. Sharing Information

BrokerDam does not sell personal information. We may share information with trusted service providers to operate our platform, process payments, provide customer support, maintain infrastructure, comply with legal obligations, or protect our legal rights. Service providers are contractually required to safeguard personal information.

Our current service providers include: Supabase (database and file storage, hosted in Canada), Vercel (application hosting), Resend (email delivery), Stripe (payment processing), and Anthropic (AI processing, United States). Where you connect your own email account, Google or Microsoft delivers those messages as described in Section 7. We update this list as our providers change.

7. Connected Email Accounts (Google and Microsoft)

BrokerDam allows you to connect your own Gmail or Microsoft 365 account so that email you compose in BrokerDam is sent from your own address.

We request only the minimum permission needed to send email on your behalf. We do not request, and cannot obtain, permission to read, download, search, or modify the contents of your mailbox.

We store an encrypted authorization token that allows us to send on your behalf, along with the email address of the connected account. We do not store copies of your mailbox.

Messages sent through a connected account are delivered by Google or Microsoft and appear in that account's Sent folder, subject to their own privacy policies and terms.

You can disconnect a linked account at any time in BrokerDam under Settings, or by revoking access directly in your Google or Microsoft account settings. When access is disconnected or revoked, we delete the stored authorization token.

BrokerDam's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

8. Information About Your Clients

BrokerDam is used by mortgage professionals to manage information about their own clients. Our role depends on whose information it is.

Information about you, our customer — including account, billing, and usage information — is handled by BrokerDam as described in this Privacy Policy.

Information about your clients — including contact details, application information, and uploaded documents — is collected and controlled by you. BrokerDam processes it on your instructions and under your agreement with us. We do not use it for our own purposes, sell it, or use it to train public AI models.

Where BrokerDam collects information directly from your client on your behalf — for example, when a client completes a mortgage application through a secure link you send them — that information is collected for you as the mortgage professional, and your own privacy practices and consents govern its use. Consents provided by the client are recorded with the submission. Clients with questions about information held about them should contact the mortgage professional they are working with; we will refer such requests to that professional and assist in responding.

9. Data Storage and Security

Customer data is stored in Canada. Certain AI-powered features may securely process information using trusted service providers located in the United States. BrokerDam implements encryption, access controls, monitoring, vulnerability management, and other administrative, technical, and organizational safeguards.

10. Data Retention

We retain personal information only for as long as necessary to provide our services, comply with legal obligations, resolve disputes, and enforce our agreements. Information is securely deleted or anonymized when no longer required.

11. Your Privacy Rights

Depending on applicable law, you may have the right to access, correct, delete, or request information about the processing of your personal information. Requests may be submitted using the contact information below.

12. Children's Privacy

BrokerDam is intended for use by businesses and licensed mortgage professionals. We do not knowingly collect personal information directly from children.

13. International Data Transfers

Where personal information is processed outside Canada, BrokerDam implements appropriate contractual, technical, and organizational safeguards in accordance with applicable privacy laws, including PIPEDA.

14. Changes to this Privacy Policy

We may update this Privacy Policy periodically. Material changes will be reflected by updating the Last Updated date and, where required, providing notice to customers.
