E-Sign

E-sign that lives where your deals do.

Send documents for signature from any mortgage file — no separate tool, no per-envelope fees.

Send from the deal

A signing package is built on the deal itself, not in a separate tab or a different product. You upload the PDFs you need signed — commitment letters, disclosures, consent forms, lender-specific documents — and add the signers directly from the file. Borrowers and co-borrowers are auto-suggested from the client record, so you are not retyping names or emails.

Fields are placed by drag and drop: signature, initials, dates, text inputs, and signer-info fields. For each field you choose whether it prefills from the client record or starts blank, which means the signer sees the right information already filled in but can still edit it before committing. That combination of speed and accuracy matters on mortgage files, where a wrong date or a misspelled name can mean a package coming back for correction.

Signing that works for clients

Each signer receives a secure email link that takes them straight to the document. They can draw their signature with a mouse or finger, type it as styled text, or upload an image they already have. The experience is responsive, so it works on a phone in a parking lot as well as it works on a laptop at a kitchen table.

Prefilled details stay editable by the signer before they sign. That matters because clients often spot a typo in their address or want to update a phone number while they are reviewing the package. They can make the correction, sign, and move on — without the package bouncing back to you for a fresh draft.

Know where every package stands

The deal record shows the progress of each signing package at a glance: "1 of 2 signed," "waiting on co-borrower," or "completed." You are not digging through email threads or a separate dashboard to find out whether a file is stuck.

You also get a notification the moment each signer signs, not just when the whole package completes. That lets you follow up with the remaining signers while the file is still warm, rather than discovering a week later that one person never opened the email. If a link expires or a signer loses the message, you can resend with one click. If the deal changes direction, you can void the package and start a new one from the same deal record.

The certificate of completion

Every completed package generates a certificate of completion designed to stand up in a compliance file. It records who prepared the package — the broker and the brokerage — and the document reference so the signed file can be tied back to the deal.

For each signer, the certificate captures the authentication method, the IP address at the time of signing, the timestamp when the document was viewed, the timestamp when consent was given, and the exact signed time. It also includes a SHA-256 hash of the signed document, which means any later tampering is provable: change a single byte and the hash no longer matches.

That is the record-keeping framework a regulator expects to see when they ask how you know a client signed what they say they signed. Attribution, integrity, and consent — all in one document, generated automatically, stored with the deal.

What it replaces

Most brokers today pay for a separate e-signature subscription on top of their CRM, often with per-envelope pricing that discourages sending small packages or forces awkward workarounds. BrokerDam removes that line item entirely. E-Sign is part of the one plan, so you send as many packages as the deal requires without watching a meter.

It also removes the friction of moving documents between systems. Because the package is built from the deal record, the client details, the document trail, and the completion certificate all live in one place — the same place your pipeline, notes, and compliance records already live.

Frequently asked questions

Is e-sign legally valid in Canada?
Electronic signatures are legally recognized across Canada under PIPEDA and provincial electronic commerce legislation. BrokerDam's certificate of completion records attribution, document integrity, and signer consent. This is general information, not legal advice — consult your compliance professional for your specific situation.
Can multiple people sign the same package?
Yes. A package can include multiple signers, each with their own fields and signing order. You can track progress per signer and receive a notification as each person signs, not just when the whole package completes.
Is there a per-document or per-envelope fee?
No. E-Sign is included in BrokerDam's one plan at $99 CAD/month or $999 CAD/year. There is no per-envelope or per-document charge.
